Logistics Brain Dump from Michelle Jolly, Logistics head for several years. (2019.08.31)


Several months out:
- Reserve truck. (The current storage unit makes a long truck a bad idea.). Make *sure* it has a lift gate.
- Reserve cargo van.  (they should be on file w/ ?Penske? on Columbia blvd) (CHECK FOR CURRENT HISTORY)
- Rent from Thursday morning to Monday evening.

One month before con:
- Double-check truck\van rental
- Recruit two drivers: one for truck, one for van
- Ask for list of non-storage-locker pickups. Ask for contents of the pickup, address, and preferred time. Most common are the game library from Aaron Curtis, pre-bought Hospitality supplies, and Small Tech from KCon.
- Pickups start Thursday morning (Van gets Art Show and Hospitality)

Two weeks before con:
- Ask more loudly for non-storage-locker pickup needs.
** Schedule a meeting at the Storage unit with one person from each department to make a list of what they want.
- Make schedule.

Thursday:
Order of operations for the truck
1. 10am at the latest it goes to storage and loads up pretty much everything
2. Goes to the hotel and unloads everything into the room right off the back loading dock
3. Goes to Milwaukie for the KCon storage unit stuff (You're gonna need strong backs for that one but generally just 4-5 people)
5. Truck goes back and unloads at the back loading dock. KCon does most of their own set up so that shouldn't be too much trouble.
6. Truck goes to Aaron's house for gaming library. The shelves are not to be taken apart at all. The bins of games should go in after the shelves and the shelves are to be laid down on their sides and strapped in.
7. The truck goes back to the loading dock to unload the library. At this point the truck should be done unless there is a mass of stuff to pick up for hospitality that can't be done in the van.

Friday - Sunday afternoon
- Downtime. Occasional Hospitality runs.

Sunday afternoon
- Help with teardown.
- Take KCon Small Tech and non-Hospitality items back to storage.
- Game Library goes back to Aaron Curtis' house either Sunday night or Monday morning

Monday morning
- Everything left goes back where it came from.
- Truck gets returned to rental agency.

General Notes:
- Don't let department heads bully logistics people. They will try to convince them that it's their job to move their department stuff into their areas but it's not. They need to have their own people for set up to come and get their stuff from the unloading area.
- The van can be used for hospitality runs as well but it CANNOT interfere with art show retrieval and set up. But the key can be given out to anyone authorized by logistics to go on runs for supplies throughout the weekend. When the van and truck are picked up I usually took a hospitality person with me to be authorized by Penske on the van and the truck.
- If people use their own cars for pickups of things considered convention property (i.e. hospitality food, supplies for office, the radios that are rented for use by Con staff, etc.) their gas can be reimbursed by logistics but nothing else. The items must be paid for by the appropriate department, not logistics, and only if they ask for that. It's not a very big budget.
